Choose a task you understand
Your first workflow does not need to connect everything. Choose a recurring task with a clear input and a recognizable output. Preparing an internal summary or organizing a request can be a more useful starting point than a process with dozens of exceptions.
Draw the handoffs
Write down what starts the process, which information is needed, who reviews the result, and what happens next. Include the ordinary exceptions: an incomplete request, a missing file, or a draft that needs more work. These details are part of the workflow, not an afterthought.
Keep a review point
Let AI prepare something a person can inspect. The reviewer needs enough context to identify a mistake and an easy way to correct it. For your first version, a deliberate approval step also makes it easier to understand where the process helps and where it still needs attention.
Learn before expanding
Try the workflow with representative examples and compare the output with what your team actually needs. Record recurring problems in plain language. Improve one part at a time, and add more steps only when the existing process is clear to the people using it.
